DI.12 Reports
Reports are one of the ways you can share or publish information from Digimind Intelligence. To find out more about the other publication options you can read this post.
Any DI.12 user can create a report (readers, trackers, animators and administrators). The user decides what to include in the report and when to generate it. The file can be in various formats, including .doc, .pdf and .xls.
One strong advantage of using reports is that they are well-adapted to longer articles and in-depth analysis.
Reports can be structured using the folders in a project. Tags can be used to select the information you would like to include in the report. To find out more about working with tags and folders in a project please follow this link.
There are several standard Digimind report templates available for you to use. However, we strongly suggest that you personalize your templates so that they match your corporate graphic guidelines and include your logo.
Use My Reader to Prepare a Report
The My Reader interface lets you select the information you would like to include in your report. Use the filters inside My Reader to preselect relevant information (click to here to find out how to use filters in My Reader).
Then click on the Actions button and select Create a Report.
You will then be able to select the pieces of information one by one, or select all.
Then click on Create report:
On the next page you can name your report, select the file type and decide which template to use:
From here you can click to create the report or you can open the advanced fields for more options.
Advanced Fields Report Generator
The first option in the advanced fields concerns the order in which your information is presented in the report. You can display by information or by folder.

The information will be presented in one section. You can present the information by:

The report will be diveded into sections based on the names of the folders you have selected. You can present the information by dates (see above). If any information has been duplicated and stored in more than one folder you can select to display it once only. You can decide how much of the folder path name you would like to include in the report as section headings.

The next section of the advanced fields will allow you to complete certain zones on your report. Some of the report template contain a space for a signature, the names of the recipients and a free field. If you are working on a tempate that contains one of these fields you will be able to specify the text you want to include.
The first time you create a report you may not be sure which, if any, of the fields are on your report template. In this case, leave the fields empty at this point. You will be able to see them and edit them later, when you have created your .doc report.
At the bottom of the advanced fields you can select which parts of the information you would like to include in the report. Some of the fields are preselected (as shown below). These are the default settings but you can click to deselect these and select other options.

Extract | publish only the extract of the information (either an automatic extract or the first 700 words depending on how your base has been configured)* | |
Images | if you have saved images seperately from the main text you will be able to publish them, they will display before the detail / extract in the report* | |

Author | the name of the person who stored or validated the information into Digimind Intelligence | |
Source type | the source type that was associated with the information during the validation process* | |
Links | the URL on which the information was published on the internet | |
Importance | the degree of importance given to the information during the validation process* | |
Reliability | the level of reliability given to the information during the validation process* | |
Folder | the name of the folder into which the information was stored on the Digimind platform | |
Personal comments | comments left by the person who stored or validated the information during the validation process | |
Other comments | comments left by users of Digimind Intelligence on the information after it has been validated | |
List of attachements | a list of any documents that have been stored with the information (.pdf, .ppt, .doc, etc.) | |
Tags | the tags that have been associated with this information during the validation process* | |
Keywords | any keywords that were associated with the information during the validation process (this is an old feature of Digimind, that has been superseded by tags) |
