Storing and Finding
Digimind allows you the possibility of associating keywords with projects and folders, and queries with folders. The idea is to facilitate both the way that information is stored within your Digimind platform and the way that information is accessed. Depending on your own working style and the quantity of information you feel you need to treat, you may never need to set up either keywords or queries for folders and projects. However, we recommend both these practices, as they will save you time and help you publish the information you need.
Storing = Query
When you work with automatic categorization rules you can apply a query to folders.
Automatic categorization will work perfectly well without a query: information that is found by an agent will be stored into the folder that has been selected.
Applying a query to the folder means that only information that fits the query's criteria will be stored. This is very useful when you would like the alerts from one agent to feed several folders or if you would like for whatever reason the alerts to be filtered again before being stored.
Click on "Rename this folder / Update query".
On the next page you will be able to change the name of the folder and / or write a query.
For more details on the operators you can use for folder queries have a look at this guide.
Finding = Keywords
When a piece of information is validated, you can choose to tag the information with a set of predefined keywords.
You can choose to define these keywords either at a folder or the project level.
Then when you store information into a Digimind folder you will be able to select which keywords you would like to associate with this piece of information. Click to open the advanced fields and at the bottom of the screen you will see:
Then you will be able to select the keywords you have prepared for that folder or project:
Once you have associated keywords with information in this way, you will be able to either search for information tagged with these keywords (advanced search for validated information) or select only certain tags for inclusion in reports:
