Monitoring of Newsletters
When it comes to gathering industry-specific knowledge, newsletters can be a crucial source of information. Monitoring what your competitors are communicating with their prospects and/or customers is key. Emails from trade magazines about industry news updates from regulatory bodies, and messages from partners also all hold a wealth of information to help you make better business decisions.
Your company’s competitive intelligence efforts rely on gathering and analyzing this information so, it’s important you get the full picture. If you’re missing a piece, you won’t understand the full story.
How it works
Adding newsletters as custom sources is quick and easy, and available through self-setup right in the Digimind UI.
Users can monitor an unlimited amount of newsletters to capture insights from a large pool of data sources. The query can be searched for in
-the “from” field of the email
-the “subject” field of the email
-the content (the body of the email or the attachment)
Advanced options and the use of an XSLT sheet will allow you to choose to extract specific information (a particular paragraph, email address, etc.) to which your query will be applied. Note: the XSLT sheet must be updated if the formatting/style of the newsletter changes. This usually happens once or twice a year. (Contact your account manager if you need assistance creating an XSLT sheet.)
How to set it up
- In DI settings, click on the gear on the dashboard on the top right.
- Go to the Monitoring tab in “projects” to chose your monitoring agent from the dropdown on the left.
- In the advanced options dropdown menu on the top right, choose “configure advanced options”
- Then select and “add a newsletter source”.
From here, you can either choose from a list of existing newsletters or add a new one.
If Using an Existing Newsletter
If you’re choosing an existing newsletter, choose that option.
- Then, select one (or multiple) newsletters from the list, then select “next”.
- Now you can add your query into the popup box (to make it easy, you can copy and paste this from elsewhere).
- Next, tick the box(es) where you’d like to search for the query (“from field”, “message subject” and/or “message body”)
- Click “Save”.
- Your setup is done!
If Adding a New Newsletter
- Click on “add a newsletter as a source”
- Select the email address of the person who will receive the newsletter, the sender’s email address and the name of the newsletter. (If the recipient of the email is not listed, you can add them. See the end of this article for directions on how to do that.)
- Then choose to gather the information using either simply a query or “advanced options”.
If using a query
- Click on “filter query”. Now you can add your query into the popup box (to make it easy, you can copy and paste this from elsewhere).
- Next, tick the box where you’d like to search for the query (“from field”, “message subject” or “message body”)
- Click “Save”
- Your setup is done!
Advanced Options
Advanced options will allow you to choose where you’d like to apply the query (the body of the email or the attachment) and/or if you’d like to extract portions or either using an XSLT sheet. To access advanced options preferences, click on the “advanced options" dropdown.
If you don’t want to add an XSLT
- Choose one of the first two options
- Click “Save”
- Your setup is done!
If you want to add an XSLT
- Chose your preferred option, either “portions of the body of the email” or “portions of the attachment”.
- After making your selection, choose either an existing XSLT from the list, or click on “add a new XSLT” to upload the file. (Note: if you choose “add a new XSLT” you’ll have to name your file, then place the text of the XSLT directly in the box provided).
- Click “Save”
- Your setup is done!
How to add a new email address
- Select “Configure a new e-mail address” and click “Save”.
- Complete the required information requested for the “Inbox settings”, then click “Save”. If you’re configuring a Gmail account, you may have additional steps to take via your Gmail account. Get more information via the links provided in the dialog box.
Note on modifications and deletions of e-mail address: When adding a new newsletter source, you have the possibility to modify or delete a recipient’s email address. First select the e-mail address to modify, then click the link “modify or delete this email address”. For a modification, make the appropriate changes and save. To delete an address, select “delete”.
